Good documentation doesn't just satisfy funders — it tells the story of what's actually happening in the community. The VIP program is building systems to capture outcomes in real time, so that the full impact of this work is never lost in a pile of papers or a fading memory.

The VIP team is building a documentation system that captures not just hours logged, but stories, outcomes, and moments — the kind of real-world evidence that moves funders, partners, and community members to action. The philosophy is simple: get it when you see it. Don't try to reconstruct what happened a month later. Capture it in the moment.

Hour Tracker

These real-time field notes become the raw material for:

  • Monthly reports to funders and city partners

  • Program newsletters and communications

  • Grant renewal narratives and impact documentation

  • Internal team learning and program improvement

Exit Ticket

Every time VIP staff convene with young people — whether in a club meeting, a Saturday session, a mediation, or a one-on-one conversation — there is an opportunity to capture youth voice. VIP uses a short, accessible feedback form called an Exit Ticket.

The Exit Ticket is not a test. It invites young people to share their experience in their own words. Staff can also complete it on behalf of a young person during a sensitive or high-intensity moment, like an on-call intervention.
